Documents and record checks

Supporting documents are optional. Each one the Saheli team checks adds a badge to the Trust & Safety section of your profile, which families read before they reach out.

Documents are optional

You can submit your profile without any documents, and add them now or later. They help families choose: many look for the Record checked badge, which shows in search once Saheli has checked a current police or vulnerable sector check.

Where to add them

While you are applying, documents are the Supporting documents step. Once you are accepted, open Documents on your companion home.

What you can add

  • Police record check: a criminal record check from a police service.
  • Vulnerable sector check: the police check for work with children or vulnerable people. It includes a criminal record check.
  • First aid & CPR: a current first aid and CPR certificate.
  • Food handler certificate: a food handler or food safety certificate.
  • Training: another course certificate, such as dementia care.
  • Other: anything else for the Saheli team. Families do not see it.

Adding a document

  1. Under Add a document, choose the file: a photo (JPG, PNG, WebP or HEIC) or a PDF.
  2. Choose what it is from What is it?.
  3. Enter the date printed on it: the Issue date on the check for a police or vulnerable sector check, or the Expiry date on the certificate for first aid and CPR or food handler. For training, add the Course name as it appears on the certificate.
  4. Select Upload.

How the Saheli team checks it

A new document shows as Awaiting review. The Saheli team reads it and checks it against the type and date you entered. Once it is checked, it shows as Checked and its badge appears on your profile.

Saheli checks the document you supply. It does not confirm it with the police service or the course provider. If a document shows Upload incomplete, the upload did not finish: add it again.

How long a document counts

A police or vulnerable sector check counts for 12 months from its issue date. A certificate counts until the expiry date printed on it.

A new document of the same kind replaces the old one. The menu says replaces your current one beside any kind you already have.

When a document expires

When a document expires, its badge comes off your profile and it shows as Expired: add a new one. Your companion home also asks you to renew it. Add the new one the same way, and its badge returns once the Saheli team has checked it.

Who sees your documents

Your files stay private: only Saheli staff can see them. Families see a badge for each checked document, with the month it was checked and when it stops counting. They do not see the file, its name or the issue date.

For training, families also see the course name once the certificate is checked.
